Keeping Timesheets/ Stundenzettel

What is a timesheet?

Timesheet is proof of the hours you have productively invested in the project work. The sponsor of the project needs this proof to reimburse the personnel costs incurred by the university. For that purpose, the funding program has created a particular form. I have personalised this form - the timesheet - for you with the information I’ve got about you.

Please fill in all missing or correct information. And make changes in the percentage of your monthly working hours according to your employment contract if there will be changes in your working situation throughout the time you work on the project.

Keep the timesheet monthly. Use the previous timesheet to document your working hours for the new month and save the file under a different name.

Please save your files as follows: timesheet for July – timesheet_your Name (without the blank line)_month and year, e.g. timesheet_AmiMusterfrau_07_2020; timesheet for August – timesheet_AmiMusterfrau_08_2020

Upload the completed timesheet to the Sciebo folder https://hochschule-rhein-waal.sciebo.de/apps/files/?dir=/XI-Lab/INTERN/AP5%20Projectmanagement/04_Finanzen/Personalkosten/Timesheets&fileid=86822519

Please upload the timesheet always until the 3rd of the next month. For example, you would upload the timesheet for July until the 3rd of August 2020. To make sure that Prof Nebe signs an accurate timesheet, I would check your timesheet until the 7th. If the timesheet is OK, you and Prof Nebe can sign the original timesheet. Only then the timesheets go to the sponsor via our financial management department, and finally, the money will flow.

Now enough of the organisational, it’s time to go in detail of how to fill in the timesheet.

Please use one of the video links to watch the tutorial on how to keep the timesheet according to your employment status

You are employed at the university only for our project XI-Lab Lower Rhein:

You are employed at the university not exclusively for our project, but for several projects, another professor, or the faculty:
